Learning documentation and feedback management at the Faculty of Medicine, IPB University (FK IPB), are currently conducted through multiple separate platforms, making it difficult to monitor students’ competency development throughout their studies. This study aimed to identify the needs of FK IPB lecturers and students regarding the desired learning documentation and feedback management system, and to design an e-portfolio system based on these needs using the Five Planes Framework. User needs were analyzed through semi-structured interviews with two lecturers and two students from FK IPB. The findings were used as the basis for designing an e-portfolio system prototype using the Five Planes Framework, which was subsequently evaluated by four FK IPB students through moderated usability testing, the Concurrent Think-Aloud technique, and the System Usability Scale (SUS) in two iterations. The results showed that the prototype refinements made after the first iteration successfully addressed the usability issues identified in that prototype, as demonstrated by all participants successfully completing all task scenarios and achieving a SUS score of 92.5, which falls into the Best Imaginable category. These findings indicate that the proposed e-portfolio system design supports learning documentation, feedback management, and competency development monitoring for FK IPB students through an integrated system.
